Iconic India needed a return and exchange process that went beyond Shopify’s standard functionality. Customers could not easily submit and track requests through a complete self-service journey, while internal teams had to manage approvals, item selection and status updates through more manual processes.
Fashion orders often contain multiple products, sizes, or quantities. A customer may want to return one item, exchange a single unit, or keep the rest of the order.
The existing setup did not provide the level of line-item and quantity control needed for these situations, and customers had limited visibility after submitting a request.
Solution
Rather than adding another standalone return form, Lucent Innovation looked at the complete journey from the moment a customer selects an order item to the point where the return or exchange is reviewed, processed and completed.
Based on that flow, our team built a custom Shopify return and exchange application with two connected experiences: a self-service portal for customers and an administration dashboard for Iconic India’s internal team.
This type of tailored workflow is part of our broader Shopify Expert Agency work, where we extend Shopify with custom applications, integrations and automation when standard functionality does not fully match how a retailer operates.
Through the customer portal, shoppers could find their order, select the exact product and quantity they wanted to return or exchange, submit the request and follow its status without contacting support at every stage.
One of the most important parts of the build was unit-level processing. If an order contained two units of the same product and the customer wanted to exchange only one, the application could process that individual quantity while leaving the remaining item and rest of the order unchanged.
The workflow covered the key stages of the process:
- Selecting the order item and required quantity.
- Submitting a return or exchange request.
- Managing eligibility, review, and approval.
- Updating the request as it moved through each stage.
- Showing the latest status back to the customer.
Behind the scenes, Shopify Admin APIs, REST APIs and webhooks kept Shopify order information connected with the custom application. Instead of teams having to manually update the same request across different places, status changes and request information could stay aligned throughout the workflow.
Iconic India’s team could then manage incoming requests from one dashboard reviewing products and quantities, handling approvals and tracking each return or exchange through completion.
The result was not simply a custom return form. It gave Iconic India a structured Shopify return and exchange workflow that made routine requests easier for customers while giving the internal team better control over how each request was processed.
